Key responsibilities
Operating cadence
- Administer the firm's daily standup and weekly review rhythm, including agenda preparation, timekeeping, decision capture, and same-day circulation of minutes and action items
- Maintain a closed-loop action register, tracking prior-period commitments through to completion and surfacing carry-forwards
Project management discipline
- Serve as system owner for the firm's project management platform, maintaining it as the single source of truth for engagement status, task ownership, and delivery timelines
- Monitor task currency across all active engagements; pursue ageing items with owners and escalate persistent non-movement
- Publish a weekly operations exception report covering overdue tasks, unassigned work, and turnaround-time breaches, issued within 24 hours of cycle close
Management reporting and instrumentation
- Design and maintain operational dashboards and automated alerting for stale tasks, TAT performance, and cadence adherence
- Progressively automate recurring reporting, reducing manual compilation effort cycle over cycle
Process documentation
- Draft, socialise, and publish standard operating procedures across core delivery processes, including client onboarding, engagement handover, month-end close, and escalation protocols
- Secure formal sign-off from designated process owners and maintain version control and currency of the SOP library
AI-enabled operations
- Apply AI tooling as the default method of execution across documentation, reporting, meeting capture, and workflow automation
- Identify manual operational processes suitable for AI augmentation and lead their redesign
- Establish and maintain internal standards for reliable, reviewable AI use in operational workflows

To qualify for the role, you must have
- 2–4 years of relevant experience in business operations, project coordination, PMO, or delivery operations, preferably within professional services or a high-growth services environment
- A high degree of AI fluency. This is a threshold requirement, not a differentiator. The successful candidate will already use AI tooling as their primary working method and will be able to demonstrate specific operational workflows they have designed, automated, or materially accelerated through it
- Demonstrated hands-on configuration experience with a project management platform — administration and workflow design experience, not solely end-user familiarity
- Working knowledge of a structured operating framework such as Agile/Scrum ceremonies, EOS, or OKRs. CFOLogic operates a 12 Week Year cadence; prior exposure is advantageous but not required
- Strong written communication, with the ability to produce concise, decision-ready documentation under recurring deadlines
Skills and attributes for success
- Persistence with judgement. A substantial portion of this role involves following up with colleagues senior to the postholder. The successful candidate will be comfortable doing so, and equally comfortable escalating when follow-up ceases to be effective.
- Bias to systematisation. Where a task recurs, the instinct should be to instrument and automate it rather than repeat it.
- Discretion and reliability. The postholder will have visibility across all client engagements and internal performance data.
Scope clarification
The Operations Specialist is accountable for the visibility of process adherence, not for the compliance of others. Where standards are consistently unmet, the postholder is expected to escalate rather than absorb. This is an internally focused role; the postholder will not hold client-facing delivery responsibility.
Reporting line
Reports to the Chief Executive Officer on an interim basis, transitioning to the Strategy & Execution Lead upon appointment to that role. Based full-time at CFOLogic's Pune delivery hub.
